How:
1. Collect all new client forms from the previous seven days.
2. In AVIMark assure the “Referred By” is accurately filled in for all new clients,
including referrals by drive by, internet, etc.
3. Separate the forms that show a referral from our existing client.
4. Search each referral name in AVIMark to see if they are a client.
a. If you are unsure, call the new client to confirm the referring
person.
b. Clients often give a name of a spouse that may be in our database
or they will frequently misspell the last name.
5. Under the referring client:
a. Enter a new “pet”. See below under “How to Setup AVImark”.
Referral and gift line items will go under this account.
b. Enter a history line item for the next referral number. A note
window should pop up where the account number for the new
client (who was referred) should be recorded.
c. Enter a coinciding gift number here at this time (See below under
“How to set up AVIMark”). A note window will also pop up here
where you may make a brief note regarding what gift was sent or
any other important details.
6. Enter the referral in the eligible client’s history.
7. The “Referral 1-8 Tracking” search (see below) or the “Referral history by
client Account #” search (see below) can be useful to double check all at
once or trouble shoot if needed.
8. Mail all referral gifts (properly packaged) to each client now, order
applicable gifts by phone. See above for which gift to send or order.
9. In AVIMark, enter the gift line item in the new “pet” to signify that the gift
has been sent.
