3034 – Reminder Postcards for Clients
Result Statment: Reminder postcards are mailed out weekly to our clients. They are mailed to
clients who have pets due 3 weeks prior to due date and 1 week prior to due
date. This gives them a professional and friendly way to remember to call us
and schedule their pets service.
Primary Responsible Position: Client Coordinator
WHEN Postcards Are Sent: Twice Monthly by Demandforce.
WHO They are Sent To: Reminder postcards are sent THREE weeks prior to and ONE week overdue for a
pet’s treatment due date. There are 2 sets of postcards that are created.
THREE week reminders are set for 3 weeks from their Tuesday launch date.
For example, if you are launching the campaign on 01/06/15, your date
range will be set for 01/27/15 to 02/10/15.
ONE overdue week reminders are set for 1 week from their Tuesday launch
date. For example, if DF is launching the campaign on 01/06/15, your date
range will be set for 12/16/15 to 12/31/15.
HOW They are Sent: The are automatically sent through Demandforce. The client coordinator simply
assure to things:
1. Post cards are send accurately and on time
2. Accurately keeps records on how many are sent weekly for stat log
reporting (see separate procedure), understanding that postcards are only
sent out EVERY TWO WEEKS. Every other week’s stats will be zero on this.
3. Certain clients can be excluded if they don’t want postcards sent. This is not
intended for those we do not have proper home addresses on. For these
clients we MUST get their home address. This is a legal requirement.
HOW stats are reported: Log into demandforce. Click the “postcards” at the top. Look on the right hand
side. Report the number every Monday evening for the number that was sent
from the previous Tuesday.
