3036 – Reminder E-mails Sent to Clients
Result Statement: To assure patients get the care needed on or before due date. We do this by
sending friendly and accurate e-mail reminders to clients on or before their pets
are due for the service(s).
Primary Responsible Position: Client Coordinator
WHEN Emails are Sent: Weekly, automatically through demandforce
WHO gets a reminder email: Reminder emails are sent THREE weeks and ONE week before a pet’s treatment
due date. There are 2 sets of emails that are created.
THREE week reminders are set for 3 weeks from their Tuesday launch date.
For example, if you are launching the campaign on 01/06/15, THE due date
range will be set for 01/27/15 to 02/02/15.
ONE week reminders are set for 1 week from their Tuesday launch date.
For example, if you are launching the campaign on 01/06/15, your date
range will be set for 01/13/15 to 01/19/15.
HOW the e-mails are sent: Demandforce is set to send these e-mail reminders automatically. The weekly
responsibility of the client coordinator is to simply:
1. Assure the e-mails were sent accurately without fail every week
2. Record the total number of e-mail reminders sent for stat reporting (see
separate procedure)
If the e-mails were not sent or sent incorrectly we fix it THAT SAME DAY! You
may have to stay late to fix this. These reminder e-mails are the PRIMARY way
pets get the care they need AND the hospital has money to pay the staff. The
simplest way to correct any problems is to call the demandforce support line
and walk through the correction.
HOW stats are reported: Log into demandforce. Click the “E-Mail” at the top. Select the drop down
search on the lower right that says “view last 7 days”. Report the number every
Monday evening for the number that was sent from the previous Tuesday.
