ALERNATE METHOD TO PRINT THE LETTER: This method is most likely more time consuming as you
will print each client letter one at a time.
a. In AVImark go to each client’s file by using their client number.
b. In the pet’s area RIGHT CLICK, from the menu that pops up choose “DOCUMENT”.
c. Check “PREVIEW”
d. Check each pet’s name you are sending the letter for.
e. Go back up to the blank “Document” section and double left click.
f. Choose “Legacy Vet Documents”
g. Choose “Misc Documents”
h. Choose the appropriate “Wellness Letter – Canine or Feline”. (Canine or Feline) If the
client has both, you will choose the Canine letter and make the appropriate adjustments on
the letter. There is a form letter for singular canine/feline and plural canines/felines.
i. Click “PRINT”. At the bottom of the computer screen the “Word” icon will appear. Click
that icon and it will bring the letter up on the screen.
j. To edit the letter: Go to the top of the screen and unclick “Preview”. You are now able to
edit the letter appropriately if necessary. Verify that all names are on the letter and that
the appropriate words match for singular or plural pets.
k. Make sure you have Legacy Veterinary Hospital letter head loaded in the printer. Go to
“FILE”, choose “PRINT”.
l. Verify the letter will print to the correct printer, then click “PRINT”.
m. Go to “MAILINGS”. Click on “ENVELOPES” type in the clients name and address.
n. Load the envelope into the printer appropriately and click “PRINT” at the bottom of the
window.
o. Prepare the letter to be mailed.
p. Document under “FOLLOW UPS” that the Incentive Letter has been mailed and what it
offers.
