8011 - Relief Doctor Scheduling
From time to time we will need to find a relief vet to cover any gaps in available vet
appointment for clients. This typically happens during times doctors are on vacation, sick, CE
meetings, etc. If the Dr. Julius or the medical director needs a relief doctor it will be listed on
the DOCTOR schedule. When this is seen these are the steps needed to be completed AT
LEAST TWO WEEKS prior to the date, preferably four weeks.
1. ASAP after doctor schedule is made attempt to contact the following vets in this order
to see if they are available:
a. Dr. Layne Sager at 214-240-4406 lmdoelling@gmail.com
b. Dr. Erin Kelley at erinmkelley@gmail.com
c. Dr. Frank Pena at 214-695-8409 frank.pena@tx.rr.com
d. RSVP at 800-256-4078 We have an account with them. We request they give a
doctor focused on QUALITY medicine, NOT QUANTITY.
e. Call Scheduled Relief at:

2. AT LEAST TWO WEEKS PRIOR:
a. Assure the doctor is scheduled in AVImark accordingly with proper e-slots,
buffers, etc. under “Relief Doctor” or the actual doctor’s name if we have them
in our system. If it is scheduled under “Relief Doctor” put the actual doctor’s
name in the first blockoff above the appointment time
b. Assure the relief doctor is scheduled with an experience fully trained technical
staff so that they can assist the doctor with writing records, ordering services for
the pets, patients release forms, etc.
c. Assure the receptionists schedule the clients with this doctor as they normally
would by telling the client they are booked with Dr. ___. They should not ask if
this is okay.
3. AT LEAST ONE WEEK PRIOR:
a. Turn in the checklist on the following page to the Executive Director (or owner if
ED is completing)
4. AT LEAST 3 DAYS PRIOR:
a. If the doctor scheduled does not have keys to the drug box make sure they are
told combination of the door hanger key box that has the drug box keys. Only
the doctors have this code.
b. Also tell the doctor the AVImark “Relief Doctor” login password.
5. THE NIGHT BEFORE: Provide the doctor the general information sheet titled “Guidelines
for Relief Doctors” on the following pages. This can be left at their desk.
